Access a sourcing event you were invited to

Open your invitation email, verify with a one-time password, and reach the event workspace.

This article shows you how to open a sourcing event you were invited to by email, verify your identity with a one-time code, and get back in later. A sourcing event is a request (RFI, RFQ, RFP, or RFA; the portal calls these "RFx" events) that a buying company runs in the Strategic Sourcing portal to collect responses from suppliers like you. There is no password to create: access works entirely through your email address.

What is in the invitation email?

To access a sourcing event, start from the invitation email. The email comes from the buyer's procurement platform (sent by the ProcureAI team) with the subject You have been invited to respond to "[event title]". The email contains a button that opens your personal invite link, plus the same link written out so you can copy and paste it into your browser. The invite link is unique to you. Do not forward it to colleagues, because access and notifications are tied to your email address. Invitation links have an expiration date set by the system (30 days for links issued when an event advances to a new round), and each invitation can be Pending (not yet used), Accessed, Expired, or Revoked by the buyer.

How do I open the invite link and verify my identity?

To open the sourcing event for the first time, use the invite link and complete the one-time verification:

  1. Click the button in the invitation email, or copy the invite link into your browser. A page titled Supplier Portal Access opens, explaining that your identity needs to be verified.

  2. Click Request Verification Code. The button shows Sending... while the code is emailed to you.

  3. Check your inbox for an email with the subject Your Verification Code. It contains a 6-digit code. The code expires 5 minutes after it is sent, and each code can be used only once.

  4. On the Enter Verification Code screen, type the 6 digits into the code boxes.

  5. Click Verify Code. The button stays disabled until all 6 digits are entered.

  6. After successful verification you land directly on the sourcing event's overview page, where you can read the event details and start your response.

If the code does not arrive or has expired, click Request New Code on the same screen to receive a fresh code.

What if my invitation link expired or was revoked?

To fix an invitation link that no longer works, read the message shown on the invite page. Each problem has a specific message and fix. This table lists the messages you can see when an invite link cannot be used and what to do about each one.

Message on screen

What it means

What to do

Invalid invite link. Please check the link or contact the buyer.

The link is incomplete or was never valid.

Re-copy the full link from the email; if it still fails, ask the buyer for a new invitation.

This invite has expired. Please contact the buyer for a new invite.

The link's expiration date has passed.

Ask your buyer contact to send a new invitation.

This invite has been revoked. Please contact the buyer for a new invite.

The buyer withdrew this invitation.

Contact the buyer to confirm whether you should still participate.

Invite Link Outdated

The link is from a previous round of the event.

Click Resend Email on that page (see below).

What if the page says "Invite Link Outdated"?

To regain access when your link is from a previous round, use the Invite Link Outdated page itself. Sourcing events can run in multiple rounds, and each round issues a fresh invite link. Click Resend Email and the portal sends you the current email for your participation status; you will see Email sent! Please check your inbox. If you click the button repeatedly you may see Please wait before requesting another email; wait a moment and try once more.

What if I am locked out after too many attempts?

To protect your account, verification is rate-limited. Entering a wrong code repeatedly shows Too many failed attempts. Please wait before trying again. After 5 failed attempts on an invite link, the invite is blocked and you will see This invite has been blocked due to too many failed attempts. Please contact the buyer for a new invite. Code requests are also limited to 3 per hour for each email address; exceeding this shows Too many code requests. Please wait before trying again. Repeated failed sign-ins lock the email address for 15 minutes, shown as Account temporarily locked due to too many failed attempts.

How do I sign in again later?

To return to your sourcing events after your first visit, you do not need the invitation email again:

  1. Go to the supplier sign-in page at /supplier/login (titled Supplier Portal Login).

  2. Enter your email address (the same one the invitation was sent to) and click Send Verification Code.

  3. Enter the 6-digit code from the email and click Verify Code. Use Resend Code if it did not arrive, or Use a different email to start over.

  4. If your email is linked to more than one supplier company, a Select Your Organization screen appears. Click the company you want to work as.

  5. You land on your supplier dashboard listing all sourcing events you have access to.

The Supplier Portal Login page with the email address field and the Send Verification Code button.

Sign-in only works after you have opened at least one invite link; otherwise you will see No accessible RFx found for this email. You must first access an RFx via an invite link.

Who do I contact if I still cannot get in?

To resolve access problems the portal cannot fix itself, such as a revoked invitation, an invitation sent to the wrong address, or no invitation at all, contact the buyer who invited you. The buyer manages invitations and can resend or reissue yours at any time.
