This article shows you how to track supplier activity in the Strategic Sourcing module while a sourcing event is live: read the response status of every invited supplier, open a per-supplier dashboard, check document compliance, and stay informed through in-app notifications and email.
Where do I see all supplier responses?
To monitor supplier responses, open the sourcing event and select Supplier Responses in the sidebar (under the Submissions group). The page opens at /buyer/sourcing-project/<event-id>/suppliers. Four metric tiles summarize participation: Invited, Submitted (with the response rate as a percentage), In Progress, and Not Started. Below the tiles, the Supplier Status table lists every invited supplier with the columns Supplier, Status, Login Status, Score, Round, Final Status, Last Active, and Actions. Use the search field ("Search suppliers...") to find a supplier by name, and the status dropdown (default All Status) to filter the table to one status. If the event has not gone live yet, the page shows "RFx Not Yet Live" instead of activity data.
What do the response statuses mean?
The following table lists every status a supplier response can show in the Supplier Status table.
Status | Meaning |
Not Started | The supplier has not begun a response for the current round. |
In Progress | The supplier has started a draft response but has not submitted it. |
Submitted | The supplier has submitted their response for the current round. |
Accepted | The submitted response has been accepted. |
Rejected | The submitted response has been rejected. |
Two companion columns add context: Login Status shows Logged In or Never Logged In, so you can tell whether a silent supplier has even opened the event, and Final Status shows Winner or Not Selected once award decisions exist. The Round column shows which round the supplier's latest response belongs to.
How do I review one supplier in detail?
On the Supplier Responses page, open the row menu in the Actions column and choose View Details (or click the supplier row).
The per-supplier workspace opens at
/buyer/sourcing-project/<event-id>/suppliers/<supplier-id>with five tabs: Dashboard, Pricing, Questions, Documents, and Negotiations.The Dashboard tab shows metric cards: Pricing Rank (for example "#2 of 5 suppliers"), Response Completeness, a documents counter ("3/5 documents"), Negotiations awaiting review, and Evaluation Score. A knockout alert appears if the supplier failed a knockout criterion, and a recommendation badge shows Recommended, Caution, or Not Recommended.
Use the Pricing tab for the supplier's full bid, Questions for their questionnaire answers, Documents for uploads, and Negotiations for negotiation history. You return to the list with the sidebar's supplier list toggle.
How do I check document compliance?
To check document compliance for a supplier, open the supplier's Documents tab, or open the event-wide Documents page from the sidebar. Each uploaded document carries an AI analysis status: Matches Requirement, Does Not Match Requirement, Uncertain - Will Be Reviewed, Analyzing, or Analysis Failed. The supplier dashboard's "Documents & Compliance" card aggregates these as Matches, Flagged, Uncertain, and Pending counts and warns you, for example, "2 documents flagged for review". You can then verify each document manually with the Accept or Reject buttons; rejecting asks for a reason for rejection, and that note is visible to the supplier.
Which notifications and emails do buyers receive?
Buyer notifications arrive in two channels while the sourcing event runs. In the app, the notifications page at /buyer/notifications lists every event with type, time, and read status; filter by All, Unread, or Read, search notifications, and use Mark All Read to clear the counter. Notification types relevant to monitoring include New Submission, Negotiation Response, New Q&A Message, and Deadline Approaching.
Buyer emails are sent for the key moments: when a supplier submits a response you receive an email with the subject "<event title> - New submission from <supplier name>" containing a Review Submission link; when a supplier responds to a negotiation you receive "<supplier name> responded to negotiation"; and when a supplier posts a Q&A message you receive "New message from <sender name>".
How do I remind suppliers who have not submitted?
On the Supplier Responses page, find the supplier whose status is Not Started or In Progress.
Open the Actions column and click Send Reminder.
The supplier's contact receives a reminder email repeating the invitation link, and you see the confirmation "Reminder email sent successfully". If a reminder was already sent recently, the app shows "A reminder was already sent recently. Please try again later." instead.
